This is an amazing opportunity to join Zoos SA as our Executive Assistant to support the Chief Executive (CE) at both Adelaide Zoo and Monarto Safari Park. This exciting role involves coordinating the Chief Executive's administrative needs by providing support and exceptional service to all stakeholders. This is a full-time contract position for a duration of six months with the potential to transition to a permanent position.
Duties:
- Provide support to the CE and the Board President.
- Coordinate the diary of the CE, including organising appointments, meetings and travel arrangements. Develop presentations, follow-up correspondence, and reports and manage requests for information.
- Provide administrative services to the Board of the Royal Zoological Society of SA Inc.
- Support the Leadership team and provide them with an administrative service.
- Prepare minutes for Board, Finance and Leadership and other meetings as required.
- Assist with events, functions, and VIP visits.
- Maintain effective communication and working relationships with Ministers departments and private sector organisations, non-government organisations, and other associations, including donors and sponsors where requested.
- Monitor credit card expenditure by preparing monthly reconciliations.
- You may be required to work evenings, weekends, or public holidays, for which applicable penalties apply, or Time Off in Lieu as negotiated.
Skills & Experience:
- Excellent working knowledge of computer-based system, including Microsoft Office Suite
- Excellent verbal communication in a one-to-one or group situation and ability to effectively liaise with high-level stakeholders
- Ability to
- work proactively with a high degree of confidentiality and independence, arrange personal work routines and practices to make optimum use of time
- deal with competing priorities
- meet deadlines, analyse problems and initiate appropriate action
- build good relationships and networks with a wide range of internal and external parties
- manage customer expectations
- Proven ability to proactively contribute to team goals and objectives
- Well-developed observational skills and attention to detail
- Demonstrated experience in:
- the provision of professional administrative support to senior executives
- coordinating arrangements for meetings and functions
