Secretary & Public Officer for the Royal Zoological Society of SA Inc
Voluntary role

The RZSSA is seeking a committed and highly organised individual to fill the role of Secretary and Public Officer.

 

This is a rewarding and exciting opportunity for someone eager to contribute to this not-for-profit Conservation Society. You will play a key role in supporting good governance and helping the Board operate effectively, while working alongside a passionate, collaborative team.

 

A thorough handover will be provided by the current Secretary to ensure a smooth transition into the role.

 

 

About the role: 

As Secretary/Public Officer, you will support the governance and administration of the Society. Key responsibilities include:

 

  • Acting as the Public Officer of the Society in accordance with the Associations Incorporations Act.
  • Supporting the smooth running of Board meetings, Committee meetings, the Annual General Meeting (AGM) and any Special or Periodic Meetings.
  • Preparing and maintaining accurate minutes for Board and Society meetings.
  • Maintaining key records and documents and ensuring all required filings of the Society are completed.
  • Conducting Board Elections, including acting as the Returning Officer.
  • Contributing to the Board’s Risk and Governance Committee.

 

The Board meets monthly, and we advise that this role is designed to be manageable and flexible, with an estimated time commitment of 4 hours per week, as follows:

 

  • Board Meeting preparation and minutes - 4 hours per month
  • Committee Meetings preparation and minutes – 2 hours per month
  • Attendance at Events - 3 hours per month
  • Co-ordination of Board member elections - 20 hours per year
  • Organisation & Conduct of AGM/Special Periodic Meeting - 10 hours per year

 

About you:

We are looking for someone who is:

  • Well organised, reliable, and detail-oriented
  • Comfortable coordinating meetings and maintaining records
  • Interested in governance and supporting a not-for-profit organisation
  • A strong communicator who can work collaboratively with Board members and Zoos SA staff

Experience in a not-for-profit environment, committee support or a similar administrative role would be highly regarded but not essential.
